Braun Intertec is hiring a project assistant for our geotechnical drilling department. This is an onsite position located at our main office in Bloomington, MN. This position will provide on-site administrative support to the drilling department and other departments on an as needed basis.
Essential Duties and Responsibilities:
- Maintain DOT inspection data; track and coordinate with supervisors any upcoming expirations and inspection needs
- Scheduling staff DOT physicals and inspections
- Compile drilling production data from logs and DPRs
- Tracking and reporting project completion to support blue folder audit process
- Assist with the coordination of drilling vehicle repair and maintenance scheduling
- Support and coordinate travel arrangements with drilling staff
- Assist with GSOC locate tickets as needed
- Invoice tracking and coding support
- Minnesota Department of Health Compliance Duties
- o Submit well construction and sealing notifications and records
- o Submit variances
- o Track drilling rig registrations and renewals
- o Building and maintaining internal database of MDH well records
- Submit ROW and obstruction permits for drilling projects
- Obtain trip and fuel permits for non-IFTA vehicles for interstate travel
- Provide administrative support for traffic control planning, scheduling, and pricing
- Track and provide current vendor pricing information to assist with proposal requests (RFPs)
- Submit required Bond and COI documentation to the appropriate municipal, county, and state organizations
- Perform final formatting review and deliverable generation for reports/proposals: to include adherence to Braun Intertec Document Standards related to both Word and Adobe/PDF capabilities.
- Verify and input data/information into a variety of software systems to be used for deliverables. (Can include OpenGround, OnBase, Microsoft Suite, the ERP system, etc.)
- Assist with Project File Clean Up and Archiving.
- Participate in production meetings, produce meeting minutes, generate/compile operations reporting, where required.
- Assist clients with routine requests and in the absence of the Project Manager, where appropriate.
- Assist Project Management staff with organization of project information and documentation, as needed, (Includes the ERP System, SharePoint, Metafield, etc.), including research of historical Braun Intertec projects when applicable.
- Prepare and assist with various power point presentations, forms, signs or flyers, and other statistical reports, as requested.
- Other project-related or administrative duties, as assigned.
Required Skills, Competencies, and qualifications:
- Demonstrated ability to organize and prioritize multiple tasks efficiently and simultaneously with minimal supervision.
- Strong analytical and problem-solving skills.
- Accurate typing and data entry skills.
- Good customer service skills via telephone, e-mail, and in-person interactions.
- Ability to read and check for appropriate use of English language in documentation and correspondence.
- Ability to read and comprehend instructions and correspondence.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Solid organizational skills including attention to detail and multi-tasking skills.
- High school diploma or equivalent is strongly preferred, post secondary education or training preferred
- At least 2 years of administrative experience preferred
- experience working in an administrative capacity for a geotechnical drilling firm, engineering consulting firm or other related AEC employer preferred
- proficiency using basic and standard office programs and the ability to learn internal systems quickly

Compensation Range:
