Introduction to role
Vanderlande is the global market leader in airport baggage handling systems. Within the Project Execution team, the Information Management team supports the delivery of all UK projects by managing handover and project documentation, maintaining document control within Vanderlande's management systems, and coordinating documentation across customer databases and document control platforms.
As part of our UK Airports Project Execution team, the Information Management function supports the successful delivery of airport projects by ensuring the effective management, control, and handover of project information and documentation throughout the project lifecycle.
Role Responsibilities
We are seeking an organised and detail-oriented Information Manager (Information & Document Control Coordinator) to join our Heathrow based team.
This role is responsible for managing project documentation and information within Vanderlande and client systems, ensuring compliance with project and contractual requirements. You will act as a key interface between project teams, customers, suppliers, subcontractors, and other stakeholders to ensure information is accurately controlled, distributed, reviewed, and archived.
The position would suit an individual who enjoys working in a structured environment, thrives on accuracy and quality, strong organisational skills and has a logical, systematic approach to managing information.
Your responsibilities and activities will include:
- Support project teams in the creation, maintenance, and updating of project documentation using approved templates, processes, and information management systems.
- Manage document review, approval, and release workflows across Vanderlande and client document management systems.
- Ensure project documentation is accurately controlled, version managed and maintained throughout the project lifecycle.
- Monitor document status and progress, ensuring deadlines for submissions and reviews are achieved.
- Ensure project documentation is accurate, complete, and fit for purpose.
- Coordinate the preparation and delivery of project handover documentation.
- Ensure all project records are complete, accurate, and archived in accordance with company requirements.
- Facilitate the consolidation and retention of project records for future reference and audit purposes.
- Liaise with Project Managers, Engineering Project Leaders, Engineers, Commercial teams, Planning teams, Integration Managers, suppliers, subcontractors, and clients.
- Coordinate the collection, review, and submission of supplier and subcontractor documentation.
- Interface with client information management teams to ensure smooth transfer and acceptance of project documentation.
Role Qualification and Skills
- Previous experience in Information Management, Document Control, Project Coordination, or a related discipline
- Experience managing data and information within a Common Data Environment (Aconex, Forma, M-files, SharePoint, Autodesk Forma)
- Experience managing technical or engineering documentation in a project environment.
- Proven ability to maintain document control processes.
- Excellent communication skills, with a high level of IT proficiency.
- Self-motivated and capable of working independently.
- Ability to manage multiple priorities and meet deadlines
- Experience working within engineering, infrastructure, construction, airport, automation, or manufacturing environments
- Knowledge of project handover requirements and lifecycle information management.
- Good understanding of CDM regulations, technical documentation, BIM delivery, and operational information requirement
- Bachelor's degree or equivalent qualification in Business Administration, Engineering, Information Management, Project Management, or a related discipline
