Role Overview
The Project Manager, PMO Operations supports the Program Management Office for one of Astreya's largest dedicated global clients. This is an operations-focused project management role rather than a traditional delivery project management role. Instead of owning a single project lifecycle, you will keep a portfolio of program actions, initiatives, and workstreams moving across a global, cross-functional organization, and you will own the communications that keep that organization aligned.
You will work across functional groups, driving small to medium initiatives from intake through closure. The role suits a highly organized project manager who is comfortable operating with limited direction, building processes where none exists yet, collaborating between teams, and writing clearly for a senior and global audience.
Key Responsibilities
- Own tracking and closure of program action items across global delivery teams, maintaining schedules, owners, and due dates, and escalating risks to the Senior Manager before they affect commitments.
- Drive small to medium initiatives end to end, including scoping, planning, stakeholder alignment, status reporting, and formal closure.
- Provide project coordination and communications capacity as needed. This includes building trackers, reporting, meeting cadences, and templates, documenting emerging processes, and taking on whatever coordination work the workstream needs to become self-sufficient.
- Draft, edit, and publish internal communications across established channels, maintaining a predictable cadence and adapting tone for audiences ranging from frontline delivery teams to senior leadership.
- Coordinate intake and information flow between teams, ensuring requests are routed, tracked, and closed out.
- Produce recurring reports on program health, action status, and initiative progress for senior leadership and client review.
- Identify and implement improvements to PMO processes, templates, and communication practices.
What Success Looks Like
Six months in, a successful hire is:
- Communicating credibly with delivery leads, Account Management, the VMO, and client stakeholders, adjusting register for each audience without needing to be coached on it.
- Raising questions early rather than sitting on ambiguity, including asking the obvious question that nobody else in the room has asked yet.
- Identifying what needs to happen and starting it, rather than waiting to be assigned work.
- Trying an approach, recognizing quickly when it is not working, and changing course openly instead of defending the original plan.
Qualifications and Skills
- Bachelor's degree and five or more years of experience in project management within corporate IT, managed services, or a comparable services environment.
- Demonstrated experience in a dedicated or embedded client support model, with sound judgment about client-facing communication and escalation.
- Experience standing up a new team, function, or workstream, including building the trackers, cadences, and reporting that did not previously exist, and operating effectively while processes are still taking shape.
- Strong business writing ability, with experience drafting communications for a global audience.
- Demonstrated ability to communicate effectively across many different functions and levels, from technical delivery teams to senior leadership and client contacts, and to build working relationships in a matrixed organization.
- Proven ability to prioritize a varied workload independently and meet deadlines in a fast moving environment.
- Proficiency with Google Workspace, AI tools, and work management or project tracking tools.
- Willingness to maintain regular working overlap with US time zones to support global stakeholders.
